The problem
Portugal's SMEs lacked structured access to experienced mentors and modern management training, and no existing platform could qualify, match, and manage thousands of participants across two very different applicant types at national scale.

Structuring
Applications ran in two defined phases rather than a single ongoing window, giving the program room to calibrate before scaling up.
Qualification and matching
A single applicant's mentor and trainer applications were approved independently and four distinct outcomes were possible.
Approval meant different next steps for each role, SMEs were assessed in two stages and one partner track had its own rules.
The lifecycle was mapped before it was built.
Every account state was mapped as a single rules engine, with the emails and rules that moved a user from one state to the next while time-based rules kept the program moving without manual chasing.
Booking and content
Mentors and SMEs each had their own agenda flow, reflecting how each side actually used the calendar, one managing capacity across many mentees, the other booking a single session.
Exclusive training content sat behind the same qualification system, visible only once a participant had actually been approved.
